How do I set up a location?

Vendric supports snack, drink, combo, coffee, fresh food, and custom machine types. Each type can have its own product planogram and inventory settings.

How do I import sales data from a CSV file?

Go to the CSV Importer, upload your file, and map the columns to Vendric fields. The system saves your mapping per vendor so future uploads are one-click. Large files (5,000+ rows) are processed in the background.

Which CSV formats are supported?

Vendric works with any CSV format. The column mapper lets you match your file's headers to Vendric fields (date, amount, payment method, machine ID, etc.). We have built-in hints for common vendors like Nayax and Cantaloupe.

How does the Nayax integration work?

Enter your Nayax API credentials in Settings → Integrations. Vendric syncs transactions automatically every 6 hours via the Lynx API. You can also trigger a manual sync with the "Force Sync" button on any machine.

Will importing duplicate my transactions?

Accepted Answer

No. The importer uses deduplication based on external transaction IDs. If a transaction already exists, it is skipped. This makes imports safe to re-run.

How do I set up commission rules?

Go to Finance → Commissions → Rules, click "Add Rule", and configure the type (percentage of gross, percentage of net, flat monthly, or tiered). You can add a deduction chain to apply tax or processing fees before calculating the commission.

Can I change a commission rate without affecting past reports?

Yes. Commission rules are versioned with an effective date. When you change a rate, a new version is created. Past reports always use the rate that was active at the time of calculation.

How are commission PDFs generated and sent?

Generate a commission report from Finance → Commissions → Reports. The PDF is created, stored securely, and can be emailed to the location contact with one click. Reports follow the workflow: Draft → Sent → Paid.

How is P&L calculated?

P&L is re-derived from source transactions every time you view it. Revenue comes from sales (net of tax), costs from expenses and commissions. You can scope it by machine, location, or your entire fleet.

How does Vendric handle tax?

Prices are entered as tax-inclusive (the label price on the machine). Vendric back-calculates the tax component and stores gross, tax, and net amounts on every transaction. Tax is never rounded mid-calculation — only at the display layer.

A planogram maps each slot in your machine to a product with a par level (maximum capacity). This lets Vendric calculate how much to restock and track inventory levels per slot.

When a machine's inventory drops below a configurable threshold, Vendric flags it for restocking. You can see all machines needing restocking in the Inventory dashboard and plan restock trips.

Can I upgrade or downgrade my plan?

Yes. Go to Settings → Billing to change your plan at any time. Upgrades take effect immediately; downgrades take effect at the end of your current billing period.

What happens if I exceed my machine limit?

You will be prompted to upgrade your plan before adding more machines. Your existing data and machines are never affected.

My CSV import failed. What should I do?

Accepted Answer

Check that your file is a valid CSV with headers in the first row. Ensure date formats are consistent and amounts are numeric. If the file is very large, try splitting it into smaller batches. Contact support if the issue persists.

Nayax sync is not pulling new transactions.

Verify your Nayax API credentials in Settings → Integrations. Check that the machine has a Nayax device ID assigned. Try a manual "Force Sync" on the machine detail page. If the issue persists, your Nayax account may have API access disabled — contact Nayax support.

My commission report shows incorrect amounts.

Accepted Answer

Commission reports re-derive from source transactions. Check that the correct commission rule is assigned to the location and that its effective date covers the report period. Also verify that all sales transactions for the period have been imported.

I can't access the dashboard after signing in.

If you see the onboarding wizard, complete it to set up your organization. If you are stuck, try clearing your browser cookies and signing in again. Contact support if the issue persists.
